Create an AI Work Handover Document: Organize Scattered Notes So Someone Else Can Continue the Work

This guide explains how to reorganize scattered notes into background, current status, material locations, next actions, cautions, and TBD items so someone else can continue the work immediately when the owner is absent. Using a fictional case in which Seoyeon's promotion and registration work is handed over to Junho, it creates both an AI work handover document and questions the recipient should verify.

01In a handover, context comes before a task list

If a handover lists only file locations and tasks, the recipient has to ask for the context again. This exercise focuses on creating a narrative document that helps the recipient understand the current status and continue with the next actions.

In Team Haneul, Seoyeon will be absent from 2026-10-26~2026-11-01, and Junho will take over promotion and registration work. The event is on 2026-11-14 14:00–16:00 with capacity 30 people, and as of 2026-10-23 there are 22 registrants. The final promotional material deadline is 2026-10-28, and Seoyeon's notes do not yet contain the venue-confirmation result.

02Gather scattered notes together with their original sources

Collect only the necessary parts of Seoyeon's notes as fictional input. In a real environment, do not copy personally identifiable information such as applicant names or phone numbers; transfer only work status and material locations.

Because file locations, statuses, prohibited actions, owners, and TBD items are mixed together, the input needs item-by-item restructuring rather than a simple summary. Ask AI to leave unsupported content as Needs confirmation.

03Specify a structure that lets the recipient continue the work

Design the prompt around the recipient's action flow rather than around summarization. Put the background and current status first, then material locations, then next actions, and finally questions about TBD items. Preserving source tags also lets the recipient know which of Seoyeon's notes to revisit when something is unclear.

This document does not invent new tasks for Junho. It connects prerequisites already present in Seoyeon's notes to the next actions. In particular, it leaves the venue-confirmation result and final approver as Needs confirmation instead of filling them in as facts. It also preserves the material paths exactly so the recipient can move from reading the document to the actual work files.

05Filling gaps with guesses makes handovers more dangerous

Because Seoyeon will be absent starting 2026-10-26, Doyun will handle registration. The venue has been confirmed as Option A, and the promotional material can be distributed on 2026-10-27. If registrations exceed capacity, applicants will automatically be moved to a waitlist, and Minseo will be treated as the final approver.

This example fills the gaps smoothly but does not match the source. The recipient is Junho, not Doyun, and there is no information that the venue has been confirmed as Option A. The 2026-10-27 distribution schedule, waitlist rule, and decision that Minseo is the final approver are also absent from the input. In a handover document, such guesses can be passed on as real work rules, so unconfirmed content should be turned into questions.

06The document is complete only when the recipient's questions remain visible

A good AI work handover document is not one that fills every blank. It shows how far the recipient can proceed immediately and where questions are required. In particular, the more AI fills in content absent from the source, such as an approver or a final decision, the riskier the document becomes. Junho needs to leave questions after receiving the document, then Minseo or Seoyeon should answer them, and those answers should be reflected in the source record.

  • Check whether the background alone explains why the handover is needed.
  • After reading the current status, check whether it connects to the material locations that should be opened next.
  • Check whether the prerequisite decisions needed for the next actions are visible.
  • Check whether the cautions are connected to actual work risks.
  • Check whether TBD items have been turned into questions so the recipient knows whom to ask.
